Main purpose of job

To provide support to the Prosperity Fund Skills for Prosperity, Green Finance and Energy in all aspects of its work: including administrative support as well as support on programme management.

Roles and Responsibilities

SKILLS PROGRAMME  

  • Support to stakeholder mapping exercises.
  • Support to preparation and review of documents: technical documents, reports, readouts, meeting notes, etc.
  • Make the necessary logistical arrangements for meetings, events, missions and workshops meetings and events to take place, including acquiring quotations, engaging with external suppliers and ensuring compliance with FCDO standards.
  • Support to day-to-day management of programme.
  • Make travel arrangements, including booking flights, making hotel reservations and arranging transport when necessary.
  • Send out invitations, book rooms and follow-up on preparations for events (reception, dinner, lunch, meetings) to monitor the RSVP. 

 

GREEN FINANCE  

  • Support to preparation of documents: readouts, meeting notes, presentations, especially those related to the Programme Research and Innovation Committee.
  • Support the Programme Manager with programme management activities, such as those related to Secondary Benefits work front.
  • Make the necessary logistical arrangements for meetings and events to take place, including acquiring quotations, engaging with external suppliers and ensuring compliance with FCDO standards;
  • Make travel arrangements, including booking flights, making hotel reservations and arranging transport when necessary
  • Send out invitations, book rooms and follow-up on preparations for events (reception, dinner, lunch, meetings) to monitor the RSVP;

ENERGY

  • Participate in internal team meetings with other teams and external meetings with the delivery partner; eventually having to represent the PF Programmes at internal meetings.
  • Provide support to the Energy Programme Manager on liaising with the delivery partner and providing necessary information.
  • Support the Programme Manager with programme management activities such as those in the Standard Operating Procedures and providing info to the PF Board when required
  • Make the necessary logistical arrangements for meetings and events to take place, including acquiring quotations, engaging with external suppliers and ensuring compliance with FCDO standards;
  • Make travel arrangements, including booking flights, making hotel reservations and arranging transport when necessary;
  • Send out invitations, book rooms and follow-up on preparations for events (reception, dinner, lunch, meetings) to monitor the RSVP
  • Support to preparation of documents: readouts, meeting notes, etc

OVERALL SUPPORT TO THE TEAM

  • Support scheduling and organising team meetings, strategy days, conferences, seminars for PF in Rio;
  • General support when team is away, focal point for stakeholders and partners;
  • Coordination with other posts’ teams visiting Rio.

  • Ongoing undergraduate studies (at least in the 3rd semester) in a subject related to Social Sciences and/or Programme Management;
  • Excellent analytical, interpersonal, and communications skills in both English and Portuguese;

Language requirements

Language: English and Portuguese

Level of language required: Fluent

Eligibility to work and live in Brazil is required.
