Project Coordinator, Knowledge and Learning, NDCP

Job Summary

In this role, you will play an integral role in the Knowledge and Learning workstream, which supports countries in sharing knowledge for climate action through written products, peer-to-peer exchanges, and online tools. You will be responsible for core operational, administrative, and project management functions, as well as events coordination and support. The role demands attention to detail, strong problem-solving skills, and the ability to thrive in a fast-paced, collaborative environment. You will report to the Knowledge and Learning Director and will work closely with all members of the Knowledge and Learning workstream and across the Support Unit.

This position is remote due to Covid-19, but you will be based at WRI’s office in Washington, DC once restrictions have lifted.

Job Responsibilities

Grant and Financial Management (25%)

  • Support the Director of Knowledge and Learning in tracking Knowledge and Learning budgets through regular reporting
  • With the Operations Manager and Grants and Finance Manager, track project budgets, review monthly Financial Status Reports, monitor contracts, and track partner financial commitments
  • Monitor monthly expenses and keep direct project budgets up to date in budgeting software
  • Manage project grants and contracts, including ensuring compliance with terms and conditions and liaising with funders
  • Prepare budgets for events and other project deliverables, and prepare fiscal year documents assigned to the Knowledge and Learning team by the Support Unit Ops team
  • Create and maintain subgrant and contract agreements with partners and contractors, including processing all payments, and amending agreements when necessary. Process invoices and payments in compliance with established governance

Project and Partner Management (20%)

  • Track progress for Knowledge and Learning project deliverables and assist Director of Knowledge and Learning in supporting team to meet targets and objectives
  • Coordinate with consultants and external partners to arrange meetings and manage collaboration as assigned
  • Facilitate publication of written products, including coordinating editing and design process with communications team
  • Provide well-rounded proactive operations and management advice to Knowledge and Learning Director to ensure sound implementation of projects per donor standards and in resolving operational and coordination issues

Event Coordination and Logistics (20%)

  • Book, organize, and ensure the successful execution of meetings to include venues, facilitators, interpretation services, catering, availability of materials, and any other needed services as well as complete the necessary contracts and payments, in line with WRI guidelines
  • Arrange travel for participants, in keeping with donor requirements and NDC Partnership budgets. Complete participant travel reimbursements, ensuring proper documentation
  • Assist with staff travel arrangements and expense reports as needed
  • Provide logistics support for online events including Zoom administration, participant and attendee tracking and regular updating of member engagement monitoring systems

Research and Communications Support (20%)

  • Coordinate knowledge and learning deliverables within and across Support Unit workstreams, ensuring that important information is communicated in meetings, emails, and project management tools
  • Liaise with the Communications team to ensure effective coordination and promotion of Knowledge and Learning products, events, and insights
  • Contribute knowledge and learning inputs to internal and external NDC Partnership newsletters
  • In collaboration with the Communications Coordinator, draft social media posts to highlight Knowledge and Learning outputs
  • Prepare talking points and slide-decks, as needed
  • As needed, give team presentations on agreed topics

Administration (15%)

  • Liaise with Knowledge and Learning team members to structure team meetings and ensure that action items are completed. Attend internal and external meetings, taking notes and tracking follow-ups with staff and partners
  • Coordinate and schedule internal and external meetings regarding projects among team
  • Assist with recruitment and onboarding of new staff members
  • Support the Knowledge and Learning Director in administrative needs, including scheduling, travel, email, communications, and general organizational needs
  • Serve as the go-to person for the Knowledge and Learning team’s ad-hoc administrative needs

Job Qualifications

  • Bachelor’s degree, preferably in a related field or with substantial professional work to demonstrate the relevance of that experience. Excellent academic record preferred
  • Minimum of 1 year of relevant full time work experience required
  • Experience in event management and budgeting processes
  • Detail-oriented and highly organized with at least three years of hands-on experience, ideally within an international nonprofit organization
  • Strong computer skills and experience in Microsoft suite, database management, cloud- and web-based communications. Advanced Excel skills required
  • Ability to manage multiple priorities and work under pressure with tight deadlines. Flexible and capable of working with minimal direction and supervision
  • Excellent writing, editing, and oral communication skills
  • Spanish/French language skills preferred

Potential Salary

$46,000 – $60,000 if based in United States. Salary is commensurate with experience and other compensable factors.
